OVERVIEW

PCE, a live events production company, is looking for a Workforce Coordinator to support our company in Huntington Beach, CA.

Business hours are Monday – Friday, 9am-5:30pm. PCE focuses on offering a remarkable client experience through customer service and industry expertise. This role will report directly to the operations management, performing wide-ranging tasks in a fast-paced environment. All work will take place in the office. This position performs a wide range of scheduling, recruiting, and workforce relations activities to facilitate the efficient operation of the organization. This position devotes significant quantities of time working coordinating with part-time and full-time staff. The position will also coordinate and assist with certain logistics and admin tasks.

DUTIES

You will be expected to carry out the duties and responsibilities described below, as well as all other duties and responsibilities as assigned. These duties and responsibilities are periodically updated to reflect business needs.

Duties include, but not limited to:

  • Coordinate and schedule internal employees and freelance personnel to support event and operational staffing needs.
  • Build, maintain, and communicate crew schedules and event rosters.
  • Monitor staffing levels and adjust workforce allocations to meet changing business requirements.
  • Recruit, screen, onboard, and maintain qualified personnel for both internal and event-based positions.
  • Support workforce relations, training initiatives, employee records, and compliance tracking.
  • Process employee timesheets and maintain accurate payroll-related records.
  • Collaborate with Operations, Logistics, and Account Management teams to coordinate staffing, transportation, and event support needs.
  • Assist with workforce forecasting, planning, and resource utilization for warehouse and event operations.
  • Provide timely staffing updates and reports to management.
  • Perform additional duties as assigned.

REQUIREMENTS

  • Minimum of 3 years of experience in workforce coordination, scheduling, workforce management, or a related role.
  • Experience in the live events, entertainment, production, or related industry required.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Professional, dependable, and able to maintain composure under pressure.
  • Ability to successfully interact with employees, freelancers, vendors, and management at all levels.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook, with the ability to learn new software applications.
  • Strong attention to detail and commitment to accuracy.
  • Self-motivated with the ability to work independently and as part of a team.
  • Demonstrated problem-solving skills and sound judgment.
  • Flexibility to work occasional evenings, weekends, and holidays as business needs require.
  • Desire for long-term growth and advancement within the organization.
