THE OPPORTUNITY

We are seeking a detail-oriented, dependable Litigation Administrative Assistant to support two litigation partners and their broader team. The dominant focus of this role is assembling and maintaining litigation notebooks — both digital and physical — for hearings and trial preparation. This is the firm's biggest current operational pain point, and the right candidate will have immediate, meaningful impact.

You will work closely with a senior litigation paralegal (20+ years of experience), allowing non-billable work to be offloaded from the legal team so attorneys and paralegals can focus on billable matters. This is a hands-on, in-person role requiring a collaborative team player who takes pride in precision and professionalism.

WHAT YOU'LL DO

  • Assemble and maintain litigation notebooks — digital and physical binders — for hearings and trial prep (primary and most critical responsibility)
  • Provide comprehensive administrative support to two litigation partners and the broader litigation team
  • Manage attorney calendars, schedule meetings, and coordinate hearing logistics with precision and follow-through
  • Handle document filing, e-filing, client correspondence support, and general administrative duties for the litigation department
  • Coordinate daily with the senior litigation paralegal and attorneys on hearing preparation, filing, and scheduling
  • Serve as a professional point of contact for clients via phone, upholding the firm's high standards of client service

IDEAL CANDIDATE

Experience & Background

  • 2–5 years of administrative experience, law firm background preferred but not required
  • Strong corporate admin background equally considered — the firm will train the right candidate
  • Litigation support or legal administrative background a plus
  • Consistent tenure: no more than 2–3 employers over the past 5 years
 

Education

  • High school diploma or equivalent required; no paralegal certificate needed
 

Hard Skills

  • Notebook assembly — digital and physical binders for hearings and trial prep
  • Document management: filing, organizing legal documents, e-filing
  • Calendar management and hearing/meeting scheduling
  • Proficient in Microsoft Office (Word, Outlook, Excel)
 

Soft Skills

  • Meticulous attention to detail — notebook prep is the dominant task
  • Strong communicator; professional and composed on phones with clients
  • Curious and coachable — learning agility valued over pedigree
  • Warm, collaborative, in-person team player with a good sense of humor
